ServiceTitan Implementation Readiness Assessment

ServiceTitan implementation readiness assessment: answer ten practical questions to identify the ownership, workflow, data, integration, training, and go-live gaps that deserve attention before configuration accelerates.

Practical guide

Assess readiness before configuration creates momentum

A ServiceTitan implementation is ready to accelerate when the business can make timely decisions, describe how work should flow, trust the data being migrated, prepare each role, and support the cutover. This assessment turns those connected conditions into ten questions your leadership and project team can answer together.

01

What implementation readiness means

Readiness does not mean every setting is finished or every question has a perfect answer. It means the team has enough ownership, operational clarity, validated information, and delivery capacity to make configuration decisions without repeatedly reopening the same assumptions.

A low or incomplete answer is not a failure. It is an early warning that lets the team resolve a dependency before it becomes rework during migration, training, or go-live.

  • Decision readiness: the people with authority can resolve scope and workflow questions.
  • Operational readiness: current and future workflows are understood by the roles doing the work.
  • Data readiness: source records are clean enough to map, sample, and validate.
  • Adoption readiness: role-based practice, support, and post-live ownership are planned.

02

How to answer the ten questions

Score each question with the evidence available today. Choose 0 when the condition is unclear or unowned, 1 when it is partly defined but still needs decisions or validation, and 2 when it is documented, owned, and supported by evidence the project team can inspect.

The maximum score is 20 and every question is weighted equally. The score is less important than the discussion: record what evidence supports the answer, name the unresolved decision, and assign an owner before moving on.

  • 0 — Not ready: unclear, unowned, or dependent on an unstated assumption.
  • 1 — Partly ready: direction exists, but a decision, owner, or validation step remains open.
  • 2 — Ready to proceed: documented, owned, reviewed, and supported by usable evidence.

03

How to use the result

Treat the result as a planning signal, not a pass-or-fail certification. Start with every zero, then review any partly ready answer tied to data, accounting, customer communication, dispatch, invoicing, payment, or payroll because those gaps can affect live operations.

Re-run the assessment at the end of discovery, before the first full data import, and during go-live readiness review. A changing score can show whether the team is closing dependencies, but only the underlying evidence can support a real go-or-no-go decision.

  • Turn each zero into a named action, owner, due date, and review checkpoint.
  • Use the implementation checklist to manage the work behind the score.
  • Use the go-live runbook only after configuration, integrations, training, and cutover ownership are ready.

04

When outside consulting may help

ServiceTitan support and official documentation can explain product capabilities, technical procedures, and available training. Operational consulting becomes useful when the business still needs to decide how people, policy, workflows, data, reporting, and technology should work together in its specific operation.

A consultant should not replace internal ownership. The best use of outside help is to create decision structure, facilitate workflow design, expose dependencies, configure against agreed operating rules, transfer knowledge, and leave the internal team able to govern the system after launch.

This guide is available without submitting a form. The complete, printable assessment remains available below so your team can assign and work through every action.

Transparent self-assessment

Score your implementation readiness

Choose the answer that matches the evidence your team has today. Each question is worth 0, 1, or 2 points; no category receives extra weight.

Question 1: Do you have one executive sponsor, one day-to-day project owner, and named decision-makers for each operating area?

01 · Ownership

Do you have one executive sponsor, one day-to-day project owner, and named decision-makers for each operating area?

Evidence can include a responsibility map, escalation path, and scheduled decision cadence.

Question 2: Can the team describe the intended call-to-cash workflow, including exceptions, without relying on one person's memory?

02 · Workflow

Can the team describe the intended call-to-cash workflow, including exceptions, without relying on one person's memory?

Look for a reviewed workflow map covering booking, dispatch, field work, invoicing, payment, and follow-up.

Question 3: Are launch scope, deferred capabilities, success criteria, and approved exceptions written down?

03 · Scope

Are launch scope, deferred capabilities, success criteria, and approved exceptions written down?

A usable scope identifies what must work on day one and what will deliberately wait.

Question 4: Have customer, location, equipment, membership, job-history, and pricebook records been assessed for cleanup and mapping?

04 · Data

Have customer, location, equipment, membership, job-history, and pricebook records been assessed for cleanup and mapping?

Evidence should identify source systems, owners, known quality issues, and sample-validation plans.

Question 5: Is there an owned plan for pricebook structure, service descriptions, materials, pricing approvals, and ongoing maintenance?

05 · Pricebook

Is there an owned plan for pricebook structure, service descriptions, materials, pricing approvals, and ongoing maintenance?

The plan should connect operational use, financial policy, field usability, and change control.

Question 6: Does every required integration have an owner, expected data flow, test scenario, and reconciliation method?

06 · Integrations

Does every required integration have an owner, expected data flow, test scenario, and reconciliation method?

Include accounting, payments, phones, payroll, marketing, and any custom or marketplace connection in scope.

Question 7: Are user roles, permissions, business units, job types, and accountability rules defined before accounts are issued?

07 · Roles and access

Are user roles, permissions, business units, job types, and accountability rules defined before accounts are issued?

Evidence should show who can view, create, approve, change, and export sensitive operational or financial information.

Question 8: Does each role have realistic practice workflows, a proficiency check, and a named source of post-training help?

08 · Training

Does each role have realistic practice workflows, a proficiency check, and a named source of post-training help?

Attendance alone is not evidence; users should demonstrate the work they must perform live.

Question 9: Is there a cutover plan covering data freeze, open work, support coverage, issue triage, and go-or-no-go authority?

09 · Go-live

Is there a cutover plan covering data freeze, open work, support coverage, issue triage, and go-or-no-go authority?

The plan should protect live calls, jobs, invoices, payments, and accounting handoffs.

Question 10: After launch, is someone accountable for adoption, reporting definitions, configuration changes, and recurring system review?

10 · Governance

After launch, is someone accountable for adoption, reporting definitions, configuration changes, and recurring system review?

Look for a review cadence, change log, decision owner, and route for turning user feedback into controlled improvement.

Important limitation: This self-assessment is a directional planning aid, not a ServiceTitan certification, implementation guarantee, security review, accounting opinion, or substitute for testing your own configuration and operating controls.
