A ServiceTitan rollout usually derails for a handful of predictable reasons: dirty migrated data, a rushed Pricebook, skipped technician training, configuration built without a plan, and no internal owner driving adoption. Mistake 1: Migrating dirty data

The fastest way to lose your team's trust on day one is to load garbage customer records into a brand-new system. Duplicate accounts, missing addresses, broken phone numbers, and stale equipment history all follow you into ServiceTitan and make the platform feel worse than the spreadsheet it replaced.

  • Deduplicate and standardize customers, locations, and contacts before import, not after.
  • Decide what history actually needs to come over — you rarely need every closed job from a decade ago.
  • Validate a sample of migrated records against the source system before you go live.

Mistake 2: Treating the Pricebook as an afterthought

Your Pricebook is the engine behind estimates, invoicing, and technician selling in the field. If it is incomplete, inconsistently named, or missing materials and labor, your team can't build accurate quotes — and they will quietly revert to old habits.

Mistake 3: Skipping role-based training

  • Train dispatchers on the dispatch board, capacity, and scheduling workflows.

  • Run a hands-on dry run in your real configuration before launch, not just slideshow demos.

Mistake 4: Configuring without a plan

ServiceTitan is highly configurable, which is a strength and a trap. Teams that start clicking through settings without first mapping their business end up with messy Business Units, overlapping Job Types, inconsistent Tags, and reporting that never reconciles.

Map your structure on paper first. Define your Business Units, Job Types, Campaigns, and Tags around how you actually want to measure the business — by trade, by location, by revenue type. Get this layer right and your Reporting and Dashboards become trustworthy. Get it wrong and you'll be re-tagging jobs for months.

Mistake 5: No internal owner or accountability

The single biggest predictor of a stalled rollout is the absence of one person who owns it. When "everyone" is responsible for adoption, no one is — and within weeks half the team is back to side spreadsheets and sticky notes.

Name an internal champion before go-live who owns configuration decisions, fields questions, holds the team accountable to using the system, and tracks adoption in the first 90 days. This person does not need to be technical. They need authority and follow-through.
